It is one of the most common things we hear from small business owners. My business is too small to need managed IT. We only have a few staff. We do not have complicated systems. We cannot justify the cost. It is understandable thinking but it is also the thinking that leaves small businesses exposed.
The size myth
Managed IT is not just for large corporates with dedicated IT departments. In fact small businesses often need it more. Large companies have in-house IT teams, security budgets and dedicated resources. Small businesses have none of that. They are running on the same internet, using the same software and facing the same threats as everyone else but with far less protection.
Cybercriminals know this. Small businesses are frequently targeted precisely because they are less likely to have proper security in place. A business with five staff is just as vulnerable to a ransomware attack or a phishing scam as one with five hundred.
What managed IT actually looks like for a small business
Many small business owners picture managed IT as something complicated and expensive involving server rooms and enterprise software. In reality for most small businesses it is much simpler than that.
Managed IT support means someone is keeping an eye on your systems, making sure your software is up to date, protecting your devices from threats and being available when something goes wrong. It means your staff have someone to call when they cannot access their email or their computer is running slowly. It means your data is being backed up and your business can keep running even when something breaks.
For a business with three to ten staff in Cape Town, managed IT might look like this: all devices are monitored and kept up to date, email is secured with proper filtering and multi-factor authentication, data is backed up daily to the cloud, a UPS keeps your critical equipment running during load shedding and an LTE failover connection keeps you online when your fibre goes down. Your staff have a number to call when something is not working and problems get resolved quickly instead of festering.
That is not a luxury. For most businesses that is just sensible.
The risks that do not care how small you are
Size does not protect you from the things that cause the most damage. Here are some of the risks that affect small businesses just as much as large ones:
Ransomware. Your files are encrypted and held hostage. The attacker demands payment and even if you pay there is no guarantee you get your data back. If you do not have proper backups you could lose everything.
Business email compromise. An attacker gains access to your email and impersonates you to redirect a client payment to their bank account. This happens to small businesses in South Africa regularly and the money is almost never recovered.
POPIA liability. If you store any client data, employee records or personal information and it gets exposed through a breach you have a legal obligation to report it. The fines are significant and the reputational damage can be worse.
Hardware failure. A hard drive dies and takes your accounting data, client files or email history with it. Without a backup strategy in place this data is gone permanently.
Load shedding damage. Repeated unexpected shutdowns degrade hardware, corrupt files and interrupt backup processes. Without a UPS and proper power management your devices are being slowly damaged every time the power goes out.
None of these scenarios require a large company or a complex IT environment. They just require a computer, an internet connection and no one watching over them.
The real cost of not having IT support
When something goes wrong without IT support in place the cost can be significant. You either spend hours trying to fix it yourself, pay a premium call-out rate to get someone in urgently or lose productivity while you wait for the problem to be resolved.
Add up those incidents over a year and the cost often exceeds what a managed IT agreement would have cost in the first place. And that is before you factor in the risk of something more serious like a data breach or a ransomware attack which can cost far more than any monthly IT fee.
There is also the hidden cost of your own time. Every hour you spend troubleshooting a printer, resetting a password or trying to figure out why your email is not working is an hour you are not spending on your business. For a business owner that time has real value.
So how small is too small?
Honestly there is no minimum size. If your business depends on computers, email or the internet to operate then your IT matters. Whether you have two staff or twenty, if your systems going down would affect your ability to serve clients or run your business then managed IT support is worth considering.
