Your profile picture appears across all Microsoft 365 apps including Outlook, Teams and SharePoint. Updating it helps your colleagues and clients recognise you in emails and meetings. When you join a Teams call without a photo, people see a coloured circle with your initials. A real photo makes communication feel more personal, especially in larger organisations or when meeting with clients.
How to change your profile picture
Open your browser and go to myaccount.microsoft.com. Sign in with your work email and password. On the main page you will see your name and a large circle with either your initials or your current photo. Click on the camera icon or click Change photo. Click Upload photo and select an image from your computer. Adjust the cropping if needed, then click Save. Your new photo will appear across all Microsoft 365 apps, though it can take a few hours to update everywhere.
You can also change it from Teams
Open Microsoft Teams. Click your profile picture or initials in the top right corner. Click Change picture. Click Upload picture, select your image and click Save.
Tips for a good profile picture
Use a clear, professional photo where your face is easy to see. Avoid group photos or images where you are far away. A simple headshot with a plain background works best. Make sure the image is not blurry or too dark. Keep the file size under 4 MB. Square images work best as they will not be stretched or cropped unevenly.
If the photo is not updating
Changes can take anywhere from a few minutes to 24 hours to appear across all Microsoft 365 apps. If it has been longer than that, try signing out and back in to Teams and Outlook. Clearing your browser cache can also help if the old photo is still showing in Outlook on the web.
When to get help
If your profile picture is not updating across all Microsoft 365 apps or if you are getting an error when trying to upload, the issue may be related to your account permissions or directory sync. Contact your IT provider to investigate.
