If your Microsoft Teams is just one long stream of mixed conversations, channels are the answer. A channel is a dedicated space within a team for a specific topic, project or department. All the conversations, files and meetings related to that topic live in one place and the right people are included.
Understanding the difference between a team and a channel
A team in Microsoft Teams is the top-level group, for example your whole company or a specific department. A channel lives inside a team and is focused on a specific topic or project. Think of the team as the office and the channels as the different rooms inside it.
Every team has a General channel by default. You add more channels as your needs grow.
How to create a new channel
In Teams, find the team you want to add a channel to in the left panel. Click the three dots next to the team name and select Add channel.
Give the channel a clear name that describes what it is for, such as Finance, Marketing or Website Redesign Project. Add a short description if it would help your team understand what the channel is for.
Under Privacy, choose Standard if everyone in the team should have access, or Private if only specific people should be able to see it.
Click Create and the channel will appear under your team in the left panel.
Adding the right people to a private channel
If you created a private channel, Teams will immediately prompt you to add members. Type their names and add them. Only the people you add will be able to see the channel and its content.
Keeping channels useful
Channels work best when they are used consistently. Encourage your team to post in the relevant channel rather than sending direct messages for things that the broader group might need to see. Files shared in a channel are automatically saved to a SharePoint folder connected to that channel, so everything stays organised in one place.
