How to Record a Microsoft Teams Meeting

Recording a Teams meeting is useful when someone cannot attend or when you want to refer back to what was discussed. It is also helpful for training sessions, client calls and any meeting where you need an accurate record of what was agreed.

How to start recording

During a Teams meeting, click the three dots (More actions) at the top of the meeting window. Click Start recording. If your organisation has transcription enabled, it may start automatically alongside the recording. Everyone in the meeting will see a notification that recording has started.

It is good practice to let participants know at the start of the meeting that you intend to record, especially if external people are on the call.

How to stop recording

Click the three dots again and click Stop recording. Confirm by clicking Stop. The recording will also stop automatically if everyone leaves the meeting.

Where to find the recording

After the meeting ends, the recording will be processed and saved. This can take a few minutes depending on the length of the meeting. For meetings scheduled through a Teams channel, the recording is saved to SharePoint. For all other meetings, it is saved to the OneDrive of the person who started the recording. You will also find a link to the recording in the meeting chat.

Sharing the recording

Open the meeting chat in Teams and click on the recording link. From there you can copy the link and share it with anyone who needs it. You can also open it in OneDrive or SharePoint and share it from there using the Share button. If you need to share the recording with someone outside your organisation, you can adjust the sharing permissions on the file in OneDrive.

Meeting transcripts

If transcription was enabled during the recording, you will find a written transcript alongside the video. This is useful for searching through a long meeting for a specific topic without having to watch the entire recording. The transcript appears in the meeting chat and can be downloaded as a text file.

If you do not see the record option

Not all accounts have recording enabled. If the option is greyed out or missing, your organisation's settings may need to be updated by your IT administrator.

When to get help
