If you need to find an email from weeks or months ago, scrolling through your inbox is not the way to do it. Outlook on the web has a powerful search that can find any email in seconds.
How to search
Go to outlook.cloud.microsoft and sign in. Click the search bar at the top of the page. Type what you are looking for. This can be a person's name, a word from the subject line, a phrase from the email body or even the name of an attachment. Press Enter. Outlook will show you matching results from all your folders.
Narrowing your results
If your search returns too many results, use the filter options that appear at the top of the search results. You can filter by date range, whether the email has attachments, who it was from or whether it was sent to you or by you. These filters help you find exactly what you need without scrolling through hundreds of results.
Searching a specific folder
By default, Outlook searches across all your folders. If you know the email is in a specific folder, click on that folder first before searching. The search will then only look in that folder.
Tips for finding emails faster
Search for the sender's name if you remember who sent it. If you remember a unique word or phrase from the email, search for that. If you know there was an attachment, tick the Has attachments filter. The more specific your search, the faster you will find what you need.
When to get help
If you cannot find an email that you know existed, if emails seem to be missing from your account or if search is returning no results at all, there may be a mailbox or retention policy issue. Contact your IT provider to check your account. Recloud can investigate and recover emails for managed clients.
