Your status in Microsoft Teams is the small coloured dot that appears next to your name and profile picture. It tells your colleagues at a glance whether you are available, in a meeting, away from your desk or busy and prefer not to be disturbed. Using it properly saves a lot of unnecessary interruptions and back-and-forth messages.
The default statuses and what they mean
Teams sets your status automatically based on your activity and your calendar. Available means you are active and free. Busy appears when you have a meeting in your calendar. In a call appears when you are on a Teams call. Away appears when you have not been active for a few minutes. Do not disturb blocks notifications entirely.
Setting your status manually
Click on your profile picture in the top right corner of Teams. Just below your name you will see your current status. Click on it to see the list of options. Select whichever one is appropriate for what you are doing.
If you are about to go into a focused work session and do not want to be interrupted, set it to Do not disturb. If you are stepping away from your desk, set it to Be right back.
Setting a status message
Below the status options click Set status message. Type a short message that gives your colleagues more context, for example In client meetings until 14:00 or Working from home today. You can also set it to clear automatically after a certain amount of time.
Click Done and your message will appear below your name whenever someone searches for you or views your profile.
Why this matters in a team environment
When your team uses statuses consistently it reduces the number of messages that start with Are you free? or Quick question. People can see at a glance whether to message you now or wait. It is a small habit that makes a noticeable difference to how smoothly a team communicates day to day.
