If your team still coordinates availability by asking around or sending emails back and forth, a shared calendar in Microsoft 365 can remove a surprising amount of daily friction. Everyone sees the same picture without needing to check in with each other first.
What it actually does
A shared calendar lets your team see each other's meetings, appointments and time off in one place. When you need to book a meeting you can see immediately who is free. When a client asks if you are available Thursday afternoon you can check the whole team in seconds.
Setting one up in Outlook
Open Outlook on your computer or go to outlook.cloud.microsoft in your browser. In the calendar section, look for My Calendars on the left side and right-click to add a new blank calendar. Give it a name that makes sense for your team.
Once created, right-click it and choose Sharing and permissions. Add your team members' email addresses and decide whether they can view only or also add and edit entries. They will receive an invitation to add the calendar to their own Outlook.
Making it useful
Agree on what belongs in the shared calendar. Client meetings, leave days and out-of-office periods are the most valuable entries. Keep names consistent and descriptive so everyone actually understands what they are looking at.
There is more you can do
A shared calendar is just one part of what Microsoft 365 offers for team coordination. Teams, shared mailboxes, SharePoint and OneDrive all work together to keep your team aligned without unnecessary back-and-forth.
Most businesses with Microsoft 365 are using a fraction of what they are already paying for. Getting the full value out of the platform usually just requires someone who knows it well to set things up correctly from the start.
When to get help
If you need shared calendars with specific permissions, room or resource booking or calendar integration with other tools, these require admin configuration. Recloud sets up Microsoft 365 collaboration tools properly so your team gets the most out of what you are already paying for.
